Create Work Request – A summary of the activity
This activity allows you to create a request. A request is a document that is used to report and register a request for maintenance by an employee encountering a specific problem on the equipment, to the respective planner. The planner in turn raises a work order based on the request to initiate appropriate action for the restoration of the faulty equipment. The work order contains the necessary information to carry out the maintenance job and records the actual details of the work performed.
The need for a request arises from the fact that work orders can be created only by authorized personnel. Therefore, any person related to production or maintenance that observes problems on the equipment, placeholder or location can report them in the form of requests. The planner subsequently converts these requests into work orders.
The request is created with a unique code in the “Create Request” page. When a request is created, its status is set as “Fresh”. The created request can be modified or canceled only when it is in the “Fresh” status. A request in the “Fresh” status is sent for approval. When the work request is approved, the status of the request changes to “Approved” and a work order can be automatically created based on the approved request. When the request is forwarded to another user for approval, the status of the request changes to “Forwarded”. If the request is rejected, the status of the request is set as “Rejected”. A request can be closed only when all the work orders that are created with reference to the request are in “Completed”, “Closed” or ”Canceled” status and the status of the request changes to “Closed”. You can also reverse the approval, rejection or closure of a request. When a request is reversed, the original status of the request, is restored.
The system records all the details, from the creation to closure of the request, in the request history.
In this page, you can create a request using a unique code and provide a description for it. The system allows you to create the request on equipment or location. You are provided with help facility to search for equipment or location code. The type of the request and the category to which the request belongs can be specified. You can also assign a priority to the request based on its importance for taking corrective action.
You can specify the manner, in which the request can be closed, depending upon the option set for auto closure of requests in the “Options” activity. A request can be closed in one of the following ways:
manually
automatically, when the last work order created based on the request is closed
manually or automatically, if the mode of closing requests is set as “Optional” in the “Options” activity.

The problem for which the request has been created must be specified. You can select a standard problem code, which has been defined in the “Create Problem Code” activity of the “Trouble Shooting Guide” business component. The condition of the equipment must be specified to indicate the condition of the equipment or location when the work request is created. The work group that is expected to carry out the corrective action on the problem, can be selected using the help facility provided.
The date on which the problem was observed on the equipment and the date by which the corrective action should be taken can be mentioned. The details of the contact person can be specified along with any other additional information pertaining to the request.
The system creates the request and sets the status of the request as “Fresh” and also records the details in the request history.
